[Providers] Overview of the Provider Portal

The Provider Portal is where you will access and download scholarship applications and invite other members to create a Provider Account.

Navigate to important pages in the Provider Portal by clicking the Menu button in the top left corner.

In the Menu bar, you'll see you can navigate to the following pages:

1. 🏠 Home

The Home tab is the portal's dashboard and provides a general overview of your scholarship(s).

The My Active Scholarships tab is where you'll go to view scholarship web pages, view and download scholarship applications, set evaluation criteria, select winner(s), and edit scholarship information (such as the deadline, award amounts, and number of recipients).

The Draft Scholarships tab will guide you to the Scholarship Wizard Dashboard.

The Wizard is a user-friendly tool for creating and listing scholarships on the Going Merry website.

The Add New / Renew tab allows you to start creating a scholarship draft. From this tab, you can quickly create a new scholarship, copy a scholarship template, or renew last year's scholarships.

The Share Scholarships tab provides you with the code to display a live widget on your school, company, or organization's website.

The Manage Admins & Reviewers tab is where you'll invite others to view and download scholarships and view who has access to your scholarships.

Home Page

The Home page, or provider dashboard, will be the first page you see when you log in to the Provider Portal.

The Home page has a few different sections:

Your Application Stats section

In this section, you have a brief overview of how many applications are

  • Still in Draft mode (where applications started the application but haven't submitted it yet)

  • How many applications are Submitted, and

  • How many applications are Under Review (which means either you or someone in your organization has started using the Provider Portal to start Evaluating applicants).

If you want to see a quick overview of how many applications are Drafted, Submitted, or Under Review for a particular scholarship, use the drop-down menu to the right of "Your Application Stats", click the scholarship you want an application status about and your dashboard will update to reflect information about that particular scholarship.

Provider Portal Tour and FAQs section

This section allows you to take a 2-minute tour of the Provider Portal. If you click "Check out the FAQs" it will take you to our Support Center full of articles to help answer your questions about the Provider Portal.

Important Dates section

The Important Dates section gives you a glimpse of important upcoming dates such as upcoming deadlines for scholarships in your program.

Application Submission Trends section

The Application Submission Trends section shows a graph of when applications have been received. When you hover over one of the graphs in the chart, you will be given a status of how many applications were submitted in a given month.


✅ My Active Scholarships

How to get to this page: click Menu in the top left corner, then click "My Active Scholarships".

The My Active Scholarships page will allow you to view your scholarships at a glance and is the page that you'll use to view, download, edit, and evaluate applications.

At the top of the Evaluate Applications page, you'll notice a few buttons and filtering options:

Download Summary CSV

Click Download Summary CSV to download all applicant information from scholarships that have not passed the deadline or are within 3 months of the deadline.

Type of applicant information pulled in this report (if requested by your program before the scholarship opens).

Submission Date, Application Status, Provider Name, Scholarship Name, Percent Complete, Quick Evaluation Rating, Winner, Amount Won, Application ID, First Name, Middle Name, Last Name, Email, Date of Birth, Street Address, City, County, State/District, Postal Code, Country, Phone, Gender, Education Level, Graduation Year, School, Start Date, End Date, School Address, GPA, Weighted/Major GPA, Intended Degree, Prospective/Current Major, Prospective/Current Minor, Target School/University, SAI, Sports, Skills, Number of Siblings in College, Household Size, Household Income, Honors/Awards, Parent/Guardian First Name 1 , Parent/Guardian Middle Name 1, Parent/Guardian Last Name 1, Parent/Guardian Name Suffix 1, Parent/Guardian Relationship 1, Parent/Guardian Email 1, Parent/Guardian First Name 2 Parent/Guardian Middle Name 2, Parent/Guardian Last Name 2, Parent/Guardian Name Suffix 2, Parent/Guardian Relationship 2, Parent/Guardian Email 2, Extracurricular Organizations, First-Gen College Student, ACT, SAT, Intended Career, Class Rank, Responses to Questions from application.

Practical uses for the CSV

Download a CSV file then use the filter option in Microsoft Excel to filter and extract information or data that you want to see.

Filter scholarships

View Active Only, Inactive Only, or All Scholarship on the Evaluate Applications Page.

Active Only scholarships are scholarships currently or recently opened.

Inactive Only Scholarships are scholarships that you requested to be removed or closed, or they are scholarships from prior years (if you've renewed your scholarships with Going Merry over the years).

View both Active and Inactive Scholarships by clicking All in the drop down menu.

Arrange by

If you want to reorganize the order in which the scholarships are displayed on the Evaluate Applications page, click the drop-down menu on the far left side of the page after "Arrange by". You're able to arrange the scholarships from

  • A to Z

  • By Deadline (earliest)

  • By Deadline (latest)

  • By Open Date (earliest)

  • By Open Date (latest)


More Drop-down Menu

On the far right side of the Evaluate Applications page, you'll notice a drop-down menu that says "More" next to the green Evaluate button.

When you click More, you're shown a list of options:

In the More drop-down Menu, you're able to:

🔎 PREVIEW

• View the scholarship's listing page

• View the application form questions

⏮️ EDIT

• Edit the scholarship's deadline, award amount, and the number of recipients

• Set evaluation criteria

📥 DOWNLOAD

• Download all applications as a ZIP folder. All applicants will have their own individual folder within the ZIP file. Each supporting document and the scholarship application will be separate within the folder.

To redact student information from applications, click All applications (ZIP of individual PDFs), and a pop-up box will appear that will allow you to redact personal information. Every application has an application ID number listed at the top of the application. You can use this application ID number to connect redacted applications to a student’s name.

• Download all applications as combined PDFs. this is the recommended option if you are going to print your applications. The application will appear first, followed by the applicants' supporting documents.

To redact student information from applications, click All applications (combined PDFs), and a pop-up box will appear that will allow you to redact personal information. Every application has an application ID number listed at the top of the application. You can use this application ID number to connect redacted applications to a student’s name.

Download a Summary (Excel) file summarizing all applicant information requested on the scholarship application.

Preview and Download applications

To preview, download, and start evaluating applications, click Menu, then click ✅ My Active Scholarships.

That will take you to the Evaluate Applications page.

To view, download, or evaluate applications, click the green Evaluate button on the right side of the page to view applications for a particular scholarship.

You'll then be directed to that scholarship's list of applications.

At the top of the page, you'll see the name of the scholarship, the award amount, the deadline, a summary of how many applications are in draft mode, and how many applications have been submitted.

To preview or download individual applications, let's say that you only wanted to preview or download an application for one student, find the student in your list of applicants.

If you have a long list of students, you can search by their name, their email address, or their application ID in the search bar. You’re able to load more applications by clicking LOAD MORE APPLICATIONS found in the bottom left corner.

Once you find the student, then click the green PDF icon on the far right.

When you click the PDF icon, you're able to preview the student's application.

If you want to download just this application you can DOWNLOAD AS IS, which will download an unredacted application.

If you need to redact information, click CHOOSE INFO TO INCLUDE, uncheck the info you want redacted, then click Continue to Download.

If you want to download or view supporting documents, click the green paper clip icon, then click the document you want to view or preview, and from there you can view and download individual supporting documents.

Download Applications in Bulk

You can download applications in bulk from the main Evaluate Applications page or from the individual scholarship page.

To download applications in bulk from the main Evaluate Applications page, click the MORE drop-down menu on the right, then click the download option you'd prefer:

To download applications in bulk from an individual scholarship's page, click the ACTIONS drop-down menu in the top right corner of the page.

Download options

You're able to download all applications as a ZIP folder of individual PDFs or you can download all applications as Combined PDFs.

🖨️ Note: Downloading applications as combined PDFs is the recommended option for printing.

You're also able to download an Excel or CSV file summarizing all applicant information requested on the scholarship application by clicking Summary (Excel) or Summary (CSV).


Quick and Full Evaluation

The Quick Evaluation feature allows you to give applicants a Yes, No, or Maybe rating.

You can then shortlist candidates based on this rating and use the filter on the top left side of the Evaluate page to filter by rating.

To assign a Quick Evaluation rating for a student, click the green Evaluate button in that student's row on the right.

After reviewing the application, click Yes, No, or Maybe under Quick Evaluation on the right. Your selection will automatically be saved. You can change this rating later (but it's not recommended if your committee has already started shortlisting candidates).

Your Quick Evaluation will appear in the student's row under Quick Evaluation Rating.

To view who gave a particular student a Quick Evaluation rating, click the green drop-down arrow in the center of that student's row. The evaluator's name and email address will appear as well as the date and time they gave their rating.


Set Evaluation Criteria

The Full Evaluation feature allows your scholarship administrator the ability to set specific evaluation criteria and scoring ranges.

To perform a Full Evaluation for a given student, click on the green Evaluate button in that student's row. If an administrator has set evaluation criteria, you'll be prompted to

rate the student based on that rubric.

If you're the administrator and wish to set the Evaluation Criteria, click the Actions drop menu in the top right corner, then click Set evaluation criteria.

You can also click the green Evaluate button on the right. You'll notice under the Full Evaluation section on the far right, a message will appear prompting you to set the evaluation categories.

Once you navigate to the Assign Evaluation Categories page, you'll see an option in the top right corner called + New Evaluation Category. Click + New Evaluation Category to set your Evaluation Criteria.

Enter your Evaluation category. There are a few common categories you can choose (Academic Record, Community Service, Leadership, Essay(s), Recommendation Letter(s), Video(s), Financial Need). If you have a category that doesn't fit one of these options, click Other and you'll be able to type and enter your own personalized category. Enter your Minimum Evaluation rating and Maximum Evaluation Rating then click ADD.

Continue to add your Categories by clicking + New Evaluation Category at the top.

When you're done adding your categories, click Save.

You can then Edit or Remove your Categories.

***Important:❗️Once you or someone else evaluates a student, you cannot edit your Evaluation Categories❗️***

To give a student a full evaluation rating after setting your evaluation criteria, return to the scholarship's evaluate page and click the green Evaluate button on the right.

Your evaluation criteria will now appear on the right side under the Full Evaluation section.

Assign your evaluation grates after reviewing the application using the dropdown buttons under each criterion. You can click SAVE PROGRESS if you're not ready to submit your final rating(s).

If you are ready to submit final ratings, hit SUBMIT. ❗️Once you've submitted your ratings, you won't be able to modify your ratings.❗️If you want to save your progress and modify it later, choose SAVE PROGRESS instead.

After you click SUBMIT, the Full Evaluation Avg Rating column will display the average of all evaluators' total scores.

✳️ Once you (or other evaluators) submit their rating, the applicant will receive an email informing them their application is under review. The applicant will not receive any information about who is reviewing their application, what rating they were given, or what comments were made about their application. The notification is simply to give applicants an update about their application as they have worked hard to submit their application and are excited to hear the results.

To view who provided an evaluation rating, click the green drop-down arrow in the center of the student's row. The evaluator's name and email address will appear as well as the date and time they gave their rating.

Use the Filters button in the top left corner to filter by evaluation rating.


📝 Draft Scholarships

The Scholarship Wizard is a tool built into the Provider Portal that scholarship providers and counselors use to create and add scholarships to the Going Merry website.

To view the Scholarship Wizard's dashboard, click Menu in the top left corner of your provider account, then click Draft Scholarships.

Once on the dashboard, there are three tabs at the top of the page that you can use to create a scholarship draft:

  • Create New

  • Copy 1 scholarship

  • Renew program

The Create New tab allows you to build a scholarship from scratch. When you click Create New, a new tab opens the Scholarship Wizard. Your new draft scholarship will appear under the In Draft tab of the Wizard dashboard.

The Copy 1 scholarship tab allows you to copy another scholarship you've created. This is helpful if you have many similar scholarships. Instead of creating each scholarship from scratch, you can copy another scholarship and make any edits (for example, you'll want to update the name of the scholarship). If the scholarship has a different essay prompt or deadline, make sure to make those edits as well. Your new draft scholarship will appear under the In Draft tab of the Wizard dashboard.

The Renew program tab allows you to copy several scholarships. This is especially helpful in subsequent scholarship years. You don't have to build your scholarships from scratch year after year. Instead, use the Renew program tab to copy last year's scholarships. You can then make any small edits (for example, maybe this year you have a new essay prompt you need to add or a different document you want to collect), and that's it, your program is ready to go. When you Renew the scholarships from last year, they will appear as draft scholarships under the In Draft tab of the Wizard dashboard (they won't automatically open to students until you review and then submit them).

As mentioned above, after you create a draft scholarship using the Create New, Copy 1 scholarship, or Renew program tabs, your draft will appear under the In Draft tab of the Dashboard.

Once you submit your finalized scholarships, they will appear under the Submitted for Approval tab. The Going Merry team will review your scholarships to ensure there is nothing seriously (or obviously) wrong with them before they open to students.

After the Going Merry team reviews and approves the scholarships, they will appear under the Approved/Live tab and will open on the date and time you indicated.

Once you submit a scholarship, you can view it on the My Active Scholarships page (click Menu then click the My Active Scholarships tab). The My Active Scholarships page is also where you'll go to view applications once students start applying.

To invite other administrators to access the Wizard or scholarship applications, click Menu then click Manage Admins & Reviewers.


➕ Add New / Renew

Once you get the hang of the Wizard, or if you want to start adding your scholarships right away and bypass the Wizard Dashboard, click the Menu button in the top left corner, then click Add New / Renew.

A drop-down submenu will appear where you can add a new scholarship, copy a scholarship, or renew last year's scholarships.


👤Manage Admins & Reviewers

To get to the Manage Admins & Reviewers page, click the Menu button in the top left corner, then click 👤Manage Admins & Reviewers.

The Manage Admins & Reviewers page is where you'll go to invite others to review, evaluate, and download applications.

On the Manage Members page, you'll be able to view:

• The number of current members who have access to your scholarships

• The number of pending invites (which are invites you’ve sent but the provider hasn’t signed up yet)

• The number of members that have signed up in the last 30 days and

• The number of members that have been active in the last 30 days and

• The list of members and the email addresses that have been invited to review your scholarships.

A provider account to access applications can only be created by a Going Merry representative or if a person has been invited (by you or someone else in your organization) to create an account through the Manage Members page.

Only Administrators have the ability to invite other members.

Reviewers do not have the ability to invite other members.

To Invite a new member, click + INVITE MEMBER in the top right corner.

A pop-up box will appear where you'll enter the email address or email addresses of the individuals that you want to invite.

Under the Email address(es) section, enter the email address(es) of the individual(s) that you want to invite and when you’re done entering the email address, be sure to hit ENTER or RETURN on your keyboard. It’s required that you hit ENTER or RETURN after you enter the email address. If you don't hit ENTER/RETURN, the email address will not save. After hitting enter/return, the person’s email address will appear highlighted in a red bubble.

Under Account role, choose to invite other members as Administrators or Reviewers.

Administrators can review and download applications, edit scholarships, invite other members, set evaluation criteria, and review the total score of an applicant.

Reviewers can only review, download, and evaluate applications (they cannot set evaluation criteria, they cannot edit scholarships, and they cannot invite other members).

Under Scholarship Access, you'll select whether you're giving access to all scholarships or only specific scholarships.

If you want to give the member you're inviting access to all scholarships, click All Scholarships in the drop-down menu.

If it’s just certain scholarships, then in the drop-down menu click Select certain scholarship(s) and choose the scholarship(s) that you want to give them access to and send them an invite.

When you're done selecting scholarships, click the green INVITE button.

Once you send the invite, the Administrator or Reviewer will receive an email informing them they've been invited to sign up for a provider account. The email will have instructions and a link for them to sign up for an account.

If a provider accidentally signed up on the Going Merry website on their own, you'll get an error message that says the person with this email address has an account. You’re not able to invite them because they already have a Going Merry student account. If you receive this message when trying to invite a provider, reach out to us at support@goingmerry.com with the provider’s email address and we can help you from there.

Providers either have to be invited through the invite member option or a Going Merry representative has to give them a provider portal login, they cannot sign up on their own.

After you invite an Administrator or Reviewer, they will appear on your Manage Members list.

If they have not accepted your invitation yet, their Status will appear as PENDING.

Once the Administrator/Reviewer accepts your invitation and creates an account, their Status will say ACTIVE.

If the Administrator or Reviewer asks you to resend the invitation, hover over their PENDING status and an option to RESEND INVITE will appear.

To edit the Member's Account Role (for example, if you now want to make a Reviewer an Administrator or vice versa), click EDIT on the right, change the Account Role, and then click SAVE.

To REMOVE a Member from accessing scholarship applications, click REMOVE on the far right side of the Manage Members page. This cannot be undone (although you can re-invite the Member later). If you have given the Member access to individual scholarships, you must remove their access for each scholarship.

A member can have different Account Roles for different scholarships.

For example, if you want to give a member access to Scholarship A as an Administrator, you can invite them to Scholarship A as an Administrator.

At the same time, if you don't want them to have access to Scholarship B as an Administrator, you can invite them to be only a Reviewer for Scholarship B.

If you invite a member to access All Scholarships, members must be either an Administrator or Reviewer.

If the member has access to more than one scholarship, the list of scholarships they have access to will appear under the Assigned To column. Hover over the + plus symbol to view the names of the scholarships the member has access to:

🔗Share Scholarships

To navigate to this page, click Menu, then click Share Scholarships.

This page will give you instructions on how to add a widget to your organization's website. Your scholarships and other local scholarships will appear in the widget.

Students or parents are able to view the scholarship's description by clicking the down arrow on the far right. When applicants click the green View button, they are redirected to the Going Merry webpage to view the scholarship's application questions, and eligibility requirements. If they're eligible, they can apply to the scholarship.

You can choose a theme color for your widget, you can then copy the code listed and give it to your IT person for them to add the widget to your organization’s website.
